Growing from one restaurant to three, I identified the need for an eSigning solution to replace manual paper signing, so we could save valuable time and maintain excellent compliance.
While I found other eSigning providers to be prohibitively expensive, Annature offered the exact functionality we needed at a fair price. We integrated Annature’s easy-to-use eSigning technology primarily for our letters of offer, as well as any adjustments to letters of offer. These are now delivered directly to the new employee’s phone via text message, significantly speeding up our processes.
The problem
As I’ve taken on more of a supervisory role across the organisation, I didn’t want my restaurant managers spending hours writing letters of offer, which is not always an easy task, particularly if English is not their first language. Using Annature, I’ve templated all our documentation with dropdown forms so that all spelling is standardised and correct, and required fields are completed before they’re sent out.
The solution
Our restaurant managers are thrilled with this change because they can send out a letter of offer instantly on their phone and have it returned in 20-30 minutes, whereas the previous process of printing and manual signing could take days. We also use Annature for leave requests and workers' compensation claims when someone injures themselves at work. While the latter is a government-issued form that doesn’t require a signature, by using Annature to digitise this process, I know the employee has received it.
The outcome
While time saved is an important metric for our restaurant managers, I also appreciate how Annature supports our compliance. We conduct a quarterly mini-audit at every restaurant, and we’re also audited annually as part of our franchise agreement. Thanks to Annature, I have peace of mind that we have a record of all documentation, so nothing is ever missing.
I’m always challenging my team to find ways to reduce our paper usage to almost zero, so we’re looking to integrate Annature into our onboarding process to track how new employees are engaging with our employee handbook. Even if documentation doesn’t require a signature, Annature’s templated approach makes a big difference.
